Refund & Cancellation Policy
Last updated: June 3, 2026
We keep our cancellation policy simple and fair. Places are limited, and we commit to instructors, hotels, transport, and equipment shipped abroad well in advance — so the closer to the start date a cancellation comes, the more of our costs are already spent and the harder it is to fill the place. This policy explains exactly what happens to your payment if your plans change.
This policy forms part of our Terms of Service.
1. Deposit
A place is secured with a $1,000 deposit, which is deducted from the total camp price. The deposit is handled as follows:
- 60 or more days before the camp start date — the deposit is refundable (minus any non-recoverable payment fees).
- Fewer than 60 days before the start — the deposit is non-refundable, because our costs for your place are already committed. The one exception: if a qualified replacement takes your place (someone who meets the entry requirements), the deposit is refunded.
2. Balance and full camp fee
The remaining balance is due before the camp, by the date shown in your booking confirmation. If you have paid the full camp fee and need to cancel:
- 60 or more days before the start — full refund (minus any non-recoverable payment fees).
- Fewer than 60 days before the start — the $1,000 deposit is non-refundable as above, and the rest of the fee is refundable only if a qualified replacement takes your place. Your place is also transferable to another suitable participant who meets the entry requirements.
3. Transferring your place
Instead of cancelling, you can transfer your place to another of our camps where space is available, or pass your place to another suitable participant who meets the entry requirements. Let us know as early as possible so we can help arrange it.
4. Weather
We choose our locations and dates specifically for reliable flying conditions, and we build buffer days into every camp. Even so, weather is a shared risk that no school can remove. We do not issue refunds or credits for flights not flown on days when conditions do not meet our safety standards. On a non-flying day the program continues with ground school, theory, simulator-harness work, and video review. Flying decisions always rest with the chief instructor, for safety.
5. What is not refundable
Our refund applies to the camp fee you paid us. It does not cover costs you arrange yourself or pay to third parties, including:
- international or domestic flights;
- travel, medical, or trip-cancellation insurance;
- visas, vaccinations, and personal expenses;
- meals not included in the camp price;
- payment-system or currency-conversion fees charged by the payment provider or your bank.
6. If we change or cancel a camp
On rare occasions we may need to change dates, change a site, or cancel a camp — for example because too few participants sign up, or because of circumstances beyond our control (force majeure: extreme weather, natural events, travel restrictions, unrest, and similar). In that case we will offer you, at your choice, a transfer to another camp or a refund of the amounts you paid us for the camp fee. We are not responsible for any flights, insurance, or other third-party costs you booked separately — which is why we strongly recommend the insurance below.
7. We strongly recommend travel insurance
8. How to request a cancellation or refund
To cancel, transfer, or request a refund, email us at info@flyinfinitysky.com. The cancellation date is the date we receive your written request. Approved refunds are returned to the original payment method, normally within 14 days, minus any non-recoverable payment-processor fees.
